6 New Reports PayrollHero Offers | HR People Analytics

Our loyalty department has been working on some people analytics reports as a way to provide more value to our clients. Our team curates client’s data into a personal, hand crafted experience for the CEO or owner of the company. So far the feedback from our clients have been fantastic. We started with the Employee Happiness Report but have expanded the offering to include five other reports.

Employee Happiness Report – Semantic Analysis of clocking photos to determine the happiness of your workforce and answer questions around how happiness leads to productivity.

Clocking Infraction Report – Analyzes late/early clockings to determine behaviour trends and calculate the cost of infractions.

Resolution Analysis Report – Analyzes automatically resolved clocking infractions vs. manually resolved clocking infractions to determine how to optimize your automated thresholds.

Chronic Non-Clocking Report – Analyzes the hidden costs of employees who do not clock in or out. (resolution time, man hours spent, etc.)

Photo Mismatch Report – Examines clocking selfies to look for signs of buddy punching & other suspicious activity.

New Feature on the PayrollHero App!

We have a new feature on the PayrollHero app!

Our Devs (developers) are constantly working towards improving functionality of the app. To that end, we have a new feature to enhance a human resource manager’s tools. It’s a simple addition to the app that allows the HR manager or payroll administrator to:

  1. check the GPS coordinates of employees who are clocking in.
  2. record which device they are clocking in from

The feature sits in the Employees tab and under the Rollcall Days section. You can see the list of days that the employee has clocked in, their IP address, GPS coordinates linking to Google maps and the device that they used: TeamClock or #MyClock. If there are any issues with clocking in with a particular device, the HR admin can point out what specific device the problem arose from. This information can also be used as Business Intelligence to make decision on staffing and installing the best devices in your outlets.

  • We talk about what CPF contributions are with information about the different Ethnic Funds that require contributions.The pages are linked to relevant tax forms and websites that offer more detailed information if you want it.
  • There is an industry overview and analysis on the latest consumption trends in the country. We give you a salary table to refer to for your Human Resources (HR) team in Singapore.
  • We also give you practical write-ups on how to get an import license, food hygiene requirements and the best internet service provider for your restaurants.

But we don’t want to give you simple hard facts that you could just Google anyway. The Knowledge Kit has a wealth of information in the form of personal stories and experiences in these countries. We interviewed the president of SaladStop!, Mr. Adrien Desbaillets. He gave advice on how he chooses locations in Singapore among other practical nuggets of information. We see it as a way to help the community because there is no better way to learn than from people who have gone through the same roadblocks as your are facing right now.

How Tech Savvy are Singapore’s Aunties and Uncles?

Today, I was on a mission to find out how tech savvy our aunties and uncles really are. I set out to speak to some of our senior citizens to find out if they are as ‘cool’ as the young kids in town.

I had a few simple questions in mind; Do you have an email account?, What kind of phone do you have? What is your favourite app? These questions would be enough to help me understand if aunties and uncles will use a web app or mobile app for their jobs.

Surprisingly, most said YES!  Age is not a factor! 7 out of 11 seniors I spoke with today, were not opposed to learn new apps on their smartphone. As for owning an email account, 6 seniors mentioned that they have their own personal email accounts, but rarely used. From that alone, I could guess that they are able to learn their way around using a computer and using a web app.

Another upside, is that 4 out of the 7 seniors that owned smartphones have Whatsapp as their favorite mobile app to use everyday. They use it to chat with families most of the time, and this clearly shows me that they know how to download and use a mobile app if they bother to learn how to.

The highlight of my survey was from Uncle Roland. He was the most senior among the rest I spoke with today, but the most tech savvy. Surprise!

Roland is using a Samsung S4 phone and owns an email account, which he occasionally uses. He loves to chat on Whatsapp with his family everyday. When I asked him was it easy to learn to use the mobile app, he simply says that “old dogs got to learn new tricks!”  Well said Roland!

The Take Away

This “hallway test” has revealed to me that the older demographic in our society, is getting on our tech savvy generation and willing to learn. They remain a relevant and viable target audience for us, and I have greater appreciation for them.

3 Dissatisfactions With Traditional Retail Punch Clock Systems

As part of getting to know PayrollHero and our clients we decided that it was time for me get out of the office and do some “hallway testing” with Singapore retailers. At PayrollHero the team is constantly talking about “getting out of the office”, “hallway testing” and “being ridiculously client focused”. Today, it was my turn.

Getting to know our customer segment in Singapore is important as we continue to get our product out there. We want to know what these retail businesses do for time, attendance, scheduling and payroll. And we really want to get to the bottom of the pains store managers have with their current system.

I set out to speak to outlet or store managers of F&B businesses around the Ocean Financial Center @ Raffles Place.

A lot of Pain!

Indeed! My conversations revealed that out of 6 outlet managers I spoke with today, all of them mentioned dissatisfaction with their current time clock systems for time and attendance.

Here’s why:

  1. The Biometric System (Thumbprint Scanners)

    Using this system to clock in and out at the workplace seem to be the most common with majority (4 of 6) of the outlet managers I spoke with today. They revealed that they have been using the biometric systems for employees clocking in and out at work, and are not happy about it. A manager at a salad outlet says that it is an ‘imperfect system’ because the system itself is inaccurate. This comment is also shared with a manager of a bakery chain; who complained that the system sometimes don’t read the thumbprint accurately and records the time down for the wrong employee.Frustrating? Yes! The same outlet manager adds on saying that at times system reads as ‘absent’ as the employee clocks in.
  2. The Punch Card Machine 

    The major problem one manager at a sushi outlet has with the attendance system is that the punch machine always broken down. In the days it takes for the machine to get fixed, he has to make time to manually clocking in and out his workers on an excel spreadsheet.Security is another concern with punch card machines. The time sheets are collected, then sent to the HR department for payroll processing via post or using a delivery person. What happens if the mail goes missing? All the data on the time sheets is not backed up on a system.

  3. Point-of-Sale (POS) System 

    This POS system gives employees a 4-digit code to use over the register to clock in and out of work. So what’s the issue? Well, for an outlet manager of a smoothie chain store here at Raffles Place, she is unhappy that she has to do double work – where she will manually keys in the clock in and out data of each employee again on a different system at the end of each week for payroll.She hopes she has a system that connects the time and attendance with payroll to save time!

The Take- Away

This test has revealed to me that plenty of time can be saved if redundancies and “double-work” for the purpose of verification are eliminated. Managers are delighted to work more productively if they had a system that could shorten the process for time and attendance at the outlet and worry less about payroll.

Adventure Engineers Scatter This Weekend

Our team has been full on the past few months so a few of them took this weekend to see the sights around the region. The timing was was a coincident, but we have PayrollHero #AdventureEngineers in 7 cities around the world today. They are in Hong Kong, Shenyang China, Whistler Canada, Singapore, Manila Philippines, Cebu Philippines and Squamish Canada. Taking Adventure Engineering To The Next Level

At PayrollHero we hire what we call #AdventureEngineers (video) and our team takes that to the next level. From taking avalanche courses to setting up an office in Whistler to touring around Southeast Asia we are all in when it comes to adventure.

What is an Adventure Engineer? Noun: An unusual and exciting, experience or activity built around a flexible work schedule.  

As part of our commitment to being ridiculously client focused we are bringing our Whistler team into Southeast Asia for a few weeks of learning, client meetings, ideation sessions and adventure. What is interesting is that one of our colleagues on the iOS team, Ian Keen’s girlfriend is joining him for the trip. It seems that Adventure Engineers hang out with like minded adventurers. Ian’s girlfriend Mindy is coming to Manila and is set to make the best use of her time. She has reached out to a few orphanages and is going to visit the kids, bring them toys, coloring books and the like. She has setup a GoFundMe page to raise $300 with all proceeds going to Manila kids in need.  Check out her page if you want to support her in her adventure.

Hey Guys, I’ll be in Manila for a month and while I am there I am going to volunteer in an orphanage and do some work with street kids. 

I will be buying some colouring books and crayons, basic food and clothing. Any additional funds will also go towards buying things like this. 

I’ll be posting lots of photos of the places I go and the things I buy. 

Help me to directly help the kids in Manila – every cent raised will go straight to the kids.
